A Nashville Airbnb's gross income tells you what the property brings in. Nashville STR operating expenses tell you what you might actually keep. Investors who skip this part of diligence tend to focus on the listing's most flattering number and discover the true costs after closing.

The expense profile varies widely by building type, guest capacity, management plan, amenities and financing. Here is how to build a realistic ownership budget.

Management and distribution

A management company's quoted percentage doesn't always describe the entire cost. Ask what revenue base the fee applies to, whether platform and payment-processing expenses are additional, whether maintenance carries a markup, and whether pricing software, guest communication, inspections and after-hours support are included.

If you self-manage, that doesn't make the work free. It changes which expenses you pay vendors to handle and which responsibilities you accept directly. Build a paid-management scenario even if your initial plan is to self-manage.

Cleaning and turnovers

Cleaning economics depend on stay length and guest count. A $200 cleaning charge collected from a guest is not automatically $200 of margin if the cleaner, linen service, supplies and inspections cost more.

Model cleaning charges and costs consistently. Pay attention to short stays: a property with many two-night reservations can have substantially more turnover activity than one with the same occupied nights spread across longer bookings.

Property taxes, insurance and HOA costs

Use current property records as a starting point, not a permanent forecast. Ownership changes and valuation updates can change property-tax exposure. Get insurance quotes for the intended use and confirm liability, replacement cost, exclusions and any amenity-specific requirements.

If the property is subject to an HOA, read what the monthly dues cover and look for assessments. Rooftop decks, shared structures and building systems can produce costs that aren't visible in a broker's income summary.

Utilities, maintenance and amenities

A group-oriented rental may have high water, electricity, internet, trash and consumable costs. Pools, spas, outdoor kitchens, elevators, rooftop furniture and specialty HVAC equipment can attract guests but also require maintenance and replacement reserves.

Separate recurring repairs from long-life capital replacements. Painting and replacing broken glassware aren't the same budgeting event as replacing a roof, major HVAC system or large appliance package.

Taxes: several separate obligations

Metro Nashville's published occupancy-tax notice identifies a 7% local hotel occupancy tax plus a $2.50 nightly room fee under the applicable rules. Tennessee also has sales/use tax and business-tax requirements; marketplace collection does not automatically discharge every owner's responsibility. The Tennessee Department of Revenue explains that businesses meeting applicable gross-receipts thresholds may need local activity or standard business licenses. See Metro's occupancy-tax information and Tennessee's STR tax guidance.

Tax amounts collected on behalf of governments should not casually be treated as owner income. Reconcile the marketplace's collection and remittance records with actual obligations, including direct bookings.

One budget, three scenarios

Build a base case from supported records, a conservative case with lower revenue and higher expenses, and a downside case involving a major repair or operational interruption. The latter is especially important for high-debt acquisitions with limited operating reserves.

Don't forget closing costs, legal/entity work, furnishing refreshes and launch costs in the cash-invested calculation. Those may not be ordinary annual operating expenses, but they are real money committed to the investment.

What to request from the seller

Ask for twelve months of monthly operating statements, utility records, tax bills, insurance details, management contract, HOA budget, major repair history, cleaning invoices, and any occupancy-tax or platform statements needed to reconcile revenue. Use those records to establish the baseline, then replace seller-specific terms with buyer-specific costs.
